Common questions & fixes

Stuck on one detail?

Short answers to the questions studios and their clients ask most. Each one links to the guide that walks through it.

Client access

Does my client need a YetOnePro account?

No. They open the link and confirm their email with a one-time code that expires in fifteen minutes. Read the guide: Share an asset with clients

I don’t have the portal password.

The review email doesn’t include it. Ask your creative team; they give it to you. Read the guide: Review work your creative team sent you

My client says they didn’t get a code.

The code goes to the email address you shared with. Ask them to check spam, then request a new code from the invite. Read the guide: Let clients preview files without downloading the originals

Who can get into a client portal?

Only the people under Who has access. They enter the password and then their email address; anyone else is turned away, even with the password. Read the guide: Give your client one portal for project files

Does the email include the portal password?

No. The email links to the portal with Open client review, and your client’s existing portal access still applies. Send the password separately if they don’t have it. Read the guide: Send work to your client for approval

Sharing and downloads

Can I turn on downloads for the share I already sent?

No. Allow downloads is set when you create a share, and Sharing only shows it. Share the asset again and choose For handoff. Read the guide: Let clients preview files without downloading the originals

How do I take access back?

Open Sharing in the left sidebar, open the asset, choose the person and click Remove this access. The link stops working. The “See who has access” guide walks through it. Read the guide: Share an asset with clients

Will removing access delete what the client already downloaded?

No. Removing access stops the link from working. Anything the client already downloaded stays with them. Read the guide: See who has access, and take it back

The share already expired. Do I need a new one?

No. In Sharing, choose Edit on your client’s access and pick a new date, and the same link works again. The expired page tells your client to ask for a new share, so let them know you’ve extended it. Read the guide: Set an expiry date for a shared file link

Does a watermark stop screenshots?

No. A watermark is a visible mark that shows whose work it is. It isn’t a lock, and anyone can still take a screenshot of the marked copy. Read the guide: Watermark your work before sharing it

The file I downloaded is smaller or has a watermark.

If the studio shared only a preview or a watermarked copy, that’s what you get. Ask the studio for the original if you need it. Read the guide: Download the files you received

Feedback and approval

Which comments does my client see?

Client comments, the ones without a label, show in the project’s portal under your workspace name. Internal notes never show there. Read the guide: Keep internal comments separate from client feedback

Does an internal approval count as the client’s approval?

No. It records your studio’s check. Client approval remains a separate step, and the Reviews tab lists internal checks apart from client reviews. Read the guide: Get an internal check before sending work to your client

My client answered by phone or in a meeting.

Use Record client feedback on the Client review card to record their answer. Read the guide: Send work to your client for approval

Can my client undo their approval?

No. They can ask the studio to reopen the review, which only notifies your team. A teammate with the project review permission can return accepted work to work. Read the guide: How revisions work, for your team and your client

Is the fixed version approved once I upload it?

No. Nothing is approved until your client decides in the new review. Their earlier decision stays with the version they reviewed. Read the guide: Send a revised version back for approval

Files and versions

Should a new export be a new version or a new variant?

A version is a revision of one variant, such as the square cut with an added end title. A variant is a different cut: another crop, language or creative direction. Read the guide: Keep every cut of a campaign video in one asset

I need the earlier version back.

Select it in Files & versions and click Set current. It becomes the current version again. Read the guide: Keep file revisions together with version history

Your team and account

I invited a teammate with the wrong role.

While the invitation is pending, change its role right in the Invitations list. Read the guide: How to bring a teammate into the workspace they need

My teammate didn’t get an email.

The email is sent only if they haven’t opened the thread within ten minutes. If they opened it earlier, or turned off email notifications, no email is sent. The notification is still in Notifications. Read the guide: Mention a teammate in a file comment

I lost the phone I use for two-factor sign-in.

At sign-in, switch to Backup Code and enter one of your saved codes. Each backup code works once. Read the guide: How to add an extra sign-in check to your account

Do I need a new seat to add someone to another workspace?

No. People already in your organization can join more workspaces without a new seat. Clients who review in shares or the portal never take one. Read the guide: How to add seats or storage
