By the end, you’ll have a password-protected portal for one project, open only to the client contact, with every finished deliverable inside and new ones joining on their own.

Before you start

  • A project with a client contact and at least one delivered deliverable. See “Plan client deliverables, deadlines, and owners.”
  • A role that can create portals, such as Owner.

WRITTEN GUIDE

One link for everything your client needs from a project.

The Harbor & Pine launch project has four deliverables. Three are done: the campaign key visual, the front label and the shelf mockup. The launch spot is still in work. Maya Chen, the brand manager at Harbor & Pine, is the client contact, and she has no YetOnePro account.

You’ll create a client portal from the project, protect it with a password, let only Maya in, and send her the invitation. You’ll see what she sees, then watch the launch spot join the portal on its own once it’s delivered. Sign in to YetOnePro and open a project with a client contact to follow along.

  1. 01

    Start from the project

Open the project’s Overview. It shows the client contact, the deliverables and how many are done. The client access card says No client portal: nothing is shared with the client yet.

  2. 02

    Choose Share with client

Click Share with client. The Create client portal panel opens, and the portal takes the project’s name.

  3. 03

    Set the password

Under Password, click Edit password and type one. Set it now: you’ll send it to the client along with the link.

A project portal always needs a password. You can change it later, but you can’t remove it while the portal belongs to a project.
  4. 04

    Choose who has access

Who has access starts with the project’s client. Keep only the people who should see the files, here Maya Chen, and remove the rest, such as the whole company.

Only the people on this list can get in. They enter the password, then their own email address.

  5. 05

    Let completed deliverables in automatically

Under Delivery, keep Add completed deliverables automatically on. The panel says how many are completed, here 3 of 4. They go in now, and the launch spot joins once it’s done.

  6. 06

    Create the portal

Click Create Portal. Client portal created shows the link, the Recipients and the Invitation email with the password. The three finished deliverables are already inside.

  7. 07

    Send the invitation

Click Send invitation email. You’ll see “Invitation queued for 1 recipient.” The email carries the link and the password. Click Done.

Prefer to send it yourself? Click Skip instead, then copy the link and send it with the password any way you like.

  8. 08

    See what the client sees

Maya opens the link. She enters the password, then her email address. The portal opens only for the people you added.

  9. 09

    Only finished work is inside

Inside are the three finished deliverables, and nothing else from your library: no work in progress, no other projects.

  10. 10

    Open and download

Maya can open a deliverable, for example the front label, and download the Source file, the original you delivered, or a Display image, a ready-made copy for screens.

  11. 11

New deliveries join on their own

Back in your workspace, open the launch spot and mark it delivered. It joins the portal on its own. Under View visibility details, the client access card now reads Delivered · 4.

Maya’s link stays the same, so she always knows where to look.

In short: one portal per project, a password and the client’s contacts at the door, and only finished deliverables inside. To mark work delivered, see Mark a deliverable as done.

Check the result

  • The success screen shows the portal link, the recipients and the invitation email with the password.
  • The client opens the link, enters the password and then her email address.
  • The portal shows only the delivered deliverables, nothing else from your library.
  • When another deliverable is marked delivered, it appears in the portal, and the link stays the same.

If it didn’t work

Can I create a project portal without a password?

No. A project portal always has a password. Set it in Edit password while you create the portal, and send it to the client with the link.

Who can get in?

Only the people under Who has access. They enter the password and then their email address; anyone else is turned away, even with the password.

A finished deliverable isn’t in the portal.

Only delivered deliverables go in. Open it in the project and click Mark delivered; with Add completed deliverables automatically on, it joins the portal on its own.

Does the client need a YetOnePro account?

No. The password and an email address on the access list are enough.
