By the end, you’ll have a comment that names your teammate, a notification waiting for them, and a clear idea of when an email follows.

Before you start

  • A YetOnePro workspace with a file in Assets.
  • A teammate who is a member of the workspace.

WRITTEN GUIDE

Hand a task to one teammate with an @mention.

The client approved the Northstar voiceover and now wants a 15-second version for social. You are the producer, and you want your sound engineer, Jordan, to make the cut.

You’ll leave an internal comment on the file that names Jordan. Jordan gets a notification right away, and an email if the thread is still unopened ten minutes later. Sign in to YetOnePro and open your workspace to follow along with any file in Assets.

  1. 01

    Open the file

Open Assets in the left sidebar and click the file the task is about.

  2. 02

    Start an internal comment

Select the Comments tab at the top of the right sidebar and click the Add a comment… field.

Choose Internal, because the task is for your team, not the client.

  3. 03

    Mention your teammate and save

Type @ and the first letters of the name, for example “@Jor.” A list of workspace members appears. Pick Jordan Reyes from it.

Finish the task after the name: “please also cut a 15-second version for social.” Click Save.

The comment appears in the list with Jordan’s name highlighted where you typed it.

Internal or Client? Internal comments stay with your team. Only Client comments appear on a review link.
  4. 04

    What your teammate sees

As soon as you save, Jordan gets a notification. Jordan opens Notifications in the left sidebar, and the mention is at the top: who mentioned them, and in which file.

Clicking the file name in the notification opens the thread on that comment.

  5. 05

The email, if the thread stays unopened

If Jordan doesn’t open the thread within ten minutes, YetOnePro sends an email. Mentions from those ten minutes arrive together in one email. If Jordan opens the thread earlier, there is no email.

The email has two links. Open thread goes straight to the comment. Turn off email notifications opens the setting that stops these emails.

Check the result

  • The comment shows your teammate’s name where you typed @.
  • Your teammate sees the mention at the top of Notifications.
  • If they don’t open the thread within ten minutes, they get one email that includes the mention.

If it didn’t work

My teammate’s name doesn’t appear in the list after @.

Type a few more letters of the name. Only members of the workspace appear in the list.

My teammate didn’t get an email.

The email is sent only if they haven’t opened the thread within ten minutes. If they opened it earlier, or turned off email notifications, no email is sent. The notification is still in Notifications.

The client can see my task for the team.

Open the comment and check its visibility. Tasks for your team must be set to Internal; only Client comments appear on a review link.
