Set when a shared link stops working.
Change it any time in Sharing.
Give a client access to an asset for as long as they need it, and no longer, without having to remember to switch it off.
By the end, you’ll have shared an asset with your own expiry date, checked it in the invite and in Sharing, moved it a week later, and know what your client sees once it has passed.
Before you start
- An asset to share, and your client in Contacts. See “Keep your client contacts in one place.”
- A role that can create shares. Owner and Project Manager can by default.

Want client access to end on a set date? Give the share an expiry date, and change it whenever you need to.
Open the asset, go to Asset usage and choose Share asset.
Pick Specific people and choose your client from your contacts.
For review ends in thirty days. To pick your own date, open Customize and choose Set expiration date.
Type the date. Access runs to the end of that day, in your time zone.
Share it. The invite tells your client when access ends.
Access expires on November sixth.
Later, check it in Sharing. Every share shows its expiry date, right in the list.
Open your client's access: eleven days left. Three days before the end, you get a reminder email.
Need more time? Choose Edit and pick a new date. No expiration is here too.
Save, and access now runs for eighteen days.
Once the date passes, the link stops working. This demo share has already ended.
Your client sees that the share has expired. Set a new date, and access comes back.
In short: set the expiry date under Customize when you share, and change it any time in Sharing. Client portals don't expire, so archive them when you're done.
Search across all videos and guides.
Access that ends on the date you choose.
Alex Morgan shares the bottle hero image with Maya Chen at Harbor & Pine. Maya needs it for the next eleven days, so Alex sets the date her access ends. Later, Alex checks the date in Sharing and moves it a week later.
Every share expires unless you say otherwise: For review ends in 30 days and For handoff in 7. When the date passes, the link stops working, and you don’t have to remember to switch it off. Sign in to YetOnePro and open an asset to follow along.
- 01
Start a share for your client
Open the asset and go to the Asset usage tab. Click Share asset. Under audience, pick Specific people, then Choose contact and start typing your client’s name. Pick them from your contacts, here Maya Chen.
- 02
Pick the expiry date under Customize
The preset shows how long access lasts. For review says Expires in 30 days · No downloads. To pick your own date, open Customize and, under Expiration, choose Set expiration date.
Type the date or pick it from the calendar. Access runs to the end of that day, 11:59 PM in your time zone.
No end date? Choose No expiration in the same place. The share then stays open until you choose Remove access in Sharing. - 03
Share it
Click Share. You’ll see Share created, and your client gets an invite by email.
- 04
The invite says when access ends
The invite names the asset and says when access ends, for example Access expires on November 6, 2026, so your client knows how long they have.
Time zones. The email states the time in UTC. The date and time you picked are in your time zone, so the time in the email can look different from yours. It’s the same moment. - 05
Check the date in Sharing
Open Sharing. Every share shows its expiry date right in the list, here Expires 6 Nov. Click the asset’s row and open your client’s access: Expiration shows how many days are left, here Expires in 11 days.
Three days before the end, you get a reminder email that the share is expiring soon. Your client doesn’t get one.
- 06
Move the date, or remove it
Need more time? Next to Expiration, choose Edit and pick a new date. No expiration is here too. Click Save. You’ll see Expiration updated., and the access now says Expires in 18 days.
The link stays the same, so your client doesn’t need a new invite.
- 07
What your client sees when it ends
Once the date passes, the link stops working. In the video, this part uses a separate demo share that had already ended, because nobody waits eleven days. When your client opens the invite, they see This share has expired: “The link is past its expiry date. Ask the sender to create a new share.”
You don’t have to create one. Open the access in Sharing, choose Edit, and set a new date: the same link works again. Since the page tells your client to ask for a new share, let them know you’ve extended it.
In short: set the expiry date under Customize when you share, and change it any time in Sharing. Client portals don’t expire, so archive them when you’re done.
Check the result
- The share has the expiry date you picked under Customize.
- The invite tells your client when access ends.
- In Sharing, the row shows the expiry date and your client’s access shows the days left.
- You know how to move the date or set No expiration with Edit.
If it didn’t work
What time does access end?
At 11:59 PM on the date you pick, in your time zone. The invite email states the same moment in UTC, so the time it shows can differ from yours.
Will I be reminded before it ends?
Yes. Three days before the date, you get an email that the share is expiring soon. Your client doesn’t get one.
Can a share never expire?
Yes. Choose No expiration under Customize when you share, or later with Edit in Sharing.
Do client portals expire too?
No. A client portal has no expiry date. Archive the portal when you’re done with it.
