By the end, you’ll be able to find any shared asset, see each recipient and what they can do, change the expiry, and remove access for one person or a whole company.

Before you start

  • A YetOnePro workspace with at least one asset shared outside your team.
  • A role that can manage sharing, such as Owner.

WRITTEN GUIDE

See every share in one place, and end access when you need to.

You’ve shared the Northstar bottle with two reviewers, Dana and Sam, and a label with a whole client company. Now one reviewer should lose access, another should get more time, and a finished client should lose access entirely.

You’ll find each share, check who can do what, change an expiry, and remove access for one person and for a company. Sign in to YetOnePro and open your workspace to follow along with any asset you’ve shared.

  1. 01

    Open the Sharing page

Click Sharing in the left sidebar. The Assets with shares table shows every asset you’ve shared outside your team: who it is shared with, and for how long.

Switch between shares and client portals from the menu in the header: All, Shares or Portals.

  2. 02

    Filter and search

Filter to links that are about to expire with Expiring soon, or to links that never do with No expiration. Use All access to clear the filter.

To find one asset by name, type part of the name in the search field, for example “shelf.”

  3. 03

See who has access to an asset

Click an asset to open Access to this asset. It lists each person and what they can do: comment, download, or just view. In the example, Dana Wells and Sam Ortiz can both comment.

  4. 04

Click a person to see their link. Every recipient has their own link. Click Copy if they’ve lost the email.

Below the link, check what it allows: Allow downloads, Allow comments and Add new versions.

  5. 05

    Change the expiry

In the same panel, click Edit expiration, choose a new date, for example October 16, and click Save. The editor says Applies to all 2 recipients: the expiry applies to everyone on that share.

Both rows now show Expires 16 Oct.

  6. 06

    Remove one person

Open the person you want to remove, for example Dana, and click Remove this access. Confirm with Remove.

Dana disappears from the list, and Sam keeps their access.

Removing access ends the link. It doesn’t delete anything the person already downloaded.
  7. 07

    Check what the clients see

Open the removed link in a separate browser session. It shows This link is no longer available right away. Sam’s link still opens the asset.

Links for contacts and companies ask the recipient to confirm their email before they can open the asset.

  8. 08

    Remove a whole company

Done working with a client? Open the asset shared with the company, choose the company, and click Remove this access. The panel warns that this is the last recipient and that no one can open it after removal. Confirm with Remove.

The asset’s row leaves the Sharing list, and the company’s link stops working too.

Check the result

  • The Sharing page lists the asset, who it is shared with and when access ends.
  • After you change the expiry, every recipient of that share shows the new date.
  • After you remove a person, their link shows “This link is no longer available” and the others still open the asset.
  • After you remove a company, the asset no longer appears in the Sharing list.

If it didn’t work

I can’t find the Sharing page.

Click Sharing in the left sidebar. Use the menu in the header to switch between All, Shares and Portals.

I changed the expiry for one person, and it changed for everyone.

The expiry belongs to the share, not to one person. Everyone who was added together shares one date. The editor says how many recipients it applies to.

Will removing access delete what the client already downloaded?

No. Removing access stops the link from working. Anything the client already downloaded stays with them.
