Archive a finished project.
Its files and history stay.

Clear finished work off your active list without losing its files, its deliverables or the record of who did what.

By the end, you’ll have archived a finished project, found it on the Archived tab, closed its client portal if you need to, and restored it.

Before you start

  • A project you’re done with. Archiving doesn’t require every deliverable to be delivered, but that’s when it makes sense.
  • A role that can archive and delete projects. Owner and Project Manager can by default.
  • To close the client portal too: edit access to that portal in Sharing.

WRITTEN GUIDE

Put finished work away. Keep the record.

The Harbor & Pine bottle launch is finished: all three deliverables are delivered. Alex Morgan, the workspace owner, archives the project to clear the active list, checks what stays, closes the client portal separately, and restores the project.

Archive is the reversible choice. An archived project keeps its deliverables, their files and its Activity, and you can restore it any time. Delete is permanent. Sign in to YetOnePro and open Projects to follow along.

  1. 01

    Find the finished project

Open Projects. The Active tab lists the work in progress. Find the project you’re done with. When every deliverable is delivered, the row shows it, here “3/3 done.”

  2. 02

    Archive it

Click Project actions at the end of the row and choose Archive. There’s no confirmation, because nothing is lost. The project leaves your active list right away.

Who can archive. Archiving needs a role that can archive and delete projects. Owner and Project Manager can by default. You can also archive from inside the project: Project actions in the project header has the same item.
  3. 03

Find it on the Archived tab

Switch to the Archived tab. The row is dimmed and labeled Archived, and Next due shows a dash: an archived project has nothing coming up.

  4. 04

    Open it any time

Click the project name. The project opens as usual and is labeled Archived. The Restore button in the header brings it back to active work.

  5. 05

Check that the files and history stay

Open the Deliverables tab. The banner says This project is archived — deliverables are read-only. Every deliverable keeps its status, its file and its completion date, and the Activity tab keeps the full record.

While the project is archived, you can look but not change anything. To edit a deliverable, restore the project first.

  6. 06

Know that the client portal stays open

Archiving a project doesn’t close its client portal. On the Overview tab, Client visibility still says Link with password. Click View visibility details: in Client access, the portal is still Active, and delivered files stay available to your client.

That’s often what you want. Your client can still sign in with the password and download the final files after you’ve moved on. If they shouldn’t, close the portal in the next step.
  7. 07

    Close the portal in Sharing

To close the portal too, open Sharing and click the portal, which has the project’s name. The panel shows Portal · Active. Choose Archive portal. An archived portal no longer opens for your client, and you can turn it back on with Activate portal.

  8. 08

    Know how Delete is different

Project actions also has Delete project. Delete removes the project itself, and the dialog warns you: Delete this project? This cannot be undone. Projects don’t go to Trash. The files stay in your asset library, but the project and its deliverables are gone.

To keep the record, click Cancel and archive instead.

  9. 09

Restore it when you need it again

Need the project again? Open it and click Restore, or choose Restore to active in Project actions on the Archived tab. The project is back on your Active tab, and its deliverables can be edited again.

In short: archive a finished project to clear your active list. It stays read-only, with its files and history. The client portal stays open until you archive it in Sharing. Restore brings the project back. Delete can’t be undone.

Check the result

  • The project is gone from the Active tab and listed on the Archived tab, dimmed and labeled Archived.
  • Inside the project, the Deliverables tab says the project is archived and deliverables are read-only.
  • Delivered files and Activity are all still there.
  • If your client shouldn’t open the portal anymore, the portal shows Archived in Sharing.
  • After Restore, the project is back on the Active tab.

If it didn’t work

I don’t see Archive in Project actions.

Archive shows for active and completed projects. If the project is already archived, the menu offers Restore to active instead. Archiving needs a role that can archive and delete projects, by default Owner or Project Manager.

My client can still open the portal after I archived the project.

That’s expected. Archiving a project doesn’t close its client portal. Open the portal in Sharing and choose Archive portal.

I can’t edit a deliverable in an archived project.

Archived projects are read-only. Click Restore in the project header, make your change, then archive the project again.

I deleted a project by mistake. Can I get it back?

No. Deleting a project can’t be undone, and projects don’t go to Trash. Its files stay in your asset library. To put a project away and keep it, archive it instead.
