Record an approval
your client gave by email.

Your client answered a review by email, on a call or in a meeting instead of in the portal, and the project still shows the review as awaiting the client.

By the end, you’ll have recorded each asset’s decision from the right contact, finished the review on the client’s behalf, and found the record in View feedback and the Reviews tab.

Before you start

  • A client review that’s out with your client and still awaiting their answer.
  • Your client’s answer, by email, on a call or in a meeting, and the contact who gave it, added to the project.
  • Permission to manage client reviews (Owner or Project Manager by default).

WRITTEN GUIDE

Your client answered outside the portal. Put it on the record.

Review 1 is out with Maya Chen at Harbor & Pine, in the “Harbor & Pine launch” project. She didn’t answer in the portal; she replied by email: the key visual is approved, and the front label needs one change. Alex Morgan records her answer in the project.

What you enter is your team’s record of the decision from the contact you name, not your client’s signature. Each decision shows who gave it and who recorded it, and recording it sends nothing to your client. Sign in to YetOnePro and open a project with a review out to follow along.

  1. 01

    Your client answered by email

Open the project. On the Overview, the Client review card still shows Review 1 as awaiting the client, because the answer didn’t come through the portal.

  2. 02

    Open Record client feedback

On the Client review card, click Record client feedback. The Review 1 window opens with a Record client feedback panel.

It’s for your client’s decisions received outside the portal, by email, on a call or in a meeting. As the panel says, it isn’t internal studio approval, and it doesn’t send a review.

  3. 03

    Pick who gave the answer

First, under Decision received from, pick who gave the answer, here Maya, a contact on this project. Your studio account is recorded as the person entering the feedback.

Pick the contact before you save any decision. The selection applies only to the decisions you save after it. A decision saved without one reads “Client: not specified”.
  4. 04

Approve the key visual with a note

Go asset by asset. On the key visual, click Record client feedback, add a short note on where the answer came from, for example the date of her email, and click Approve.

The row now reads “Client: Maya Chen · Recorded by Alex Morgan (studio)”, with the date and your note.

  5. 05

Request changes on the front label

On the front label, click Record client feedback and write her change in the note. Asking for changes needs a reason: “Reason required when requesting changes”. Then click Request changes.

  6. 06

Mark as reviewed on the client’s behalf

When every asset has a decision, click Mark as reviewed on client’s behalf and confirm with Mark as reviewed. Until then, the footer shows how many assets still need a decision.

Review 1 is finished. The key visual is approved, and the front label goes back to work. The review’s activity keeps each decision, with Maya’s name and your note. Your client isn’t sent anything.

  7. 07

    Needs attention, then View feedback

Back on the Overview, Needs attention shows the change request, recorded by the studio. Click View feedback.

Here’s the decision: “Client: Maya Chen · Recorded by Alex Morgan (studio)”, and her reason. An approval doesn’t need attention, so it’s on the Reviews tab instead.

  8. 08

    Check the Reviews tab

The project’s Reviews tab keeps Review 1 with both decisions, next to the reviews your client answers in the portal.

In short: when your client answers outside the portal, pick who answered, record each asset’s decision with a note, and mark the review as reviewed. Your team sees who decided, and who entered it. For reviews your client answers themselves, see Send work to your client for approval and Approve work, or send it back with changes; for notes only your team sees, Keep internal comments separate from client feedback.

Check the result

  • You picked the contact under Decision received from before saving any decision.
  • Each asset has a decision, with a note on where the answer came from.
  • Request changes has the reason your client gave.
  • You clicked Mark as reviewed on client’s behalf and confirmed.

If it didn’t work

A decision says “Client: not specified”.

It was saved before a contact was picked under Decision received from. The selection applies only to the decisions you save after it; earlier ones keep their attribution.

My client isn’t in the Decision received from list.

The list offers the project’s contacts. Add the person as a contact on the project first.

Does my client get an email when I record their answer?

No. Recording on the client’s behalf doesn’t send them anything.

Is this the same as the client approving in the portal?

It’s your team’s record of what the client said, with their name and yours on it. It isn’t the client’s signature.

Mark as reviewed on client’s behalf isn’t available.

Every asset in the review needs a decision first. The footer shows how many still need one.
