03 / KEEP DELIVERIES ON TRACK Learn by doing

Hand a deliverable over to a teammate.
Change who’s responsible, not the work.

Going away or overloaded, you need a teammate to take over a deliverable without copying files around or losing track of what’s due.

By the end, you’ll have made a teammate the assignee of your deliverable, told them, and seen it in their Assigned to me list with the same file and due date.

Before you start

  • A deliverable in a project. See “Plan client deliverables, deadlines, and owners.”
  • The teammate is a member of your workspace.
  • A role that can edit projects. Owner, Project Manager and Media Producer can by default.

WRITTEN GUIDE

Hand over the responsibility, not a copy.

Alex Morgan is going away for a few days, and the billboard key visual for the Harbor & Pine bottle launch is still on Alex’s list. Alex hands it to Jordan Reyes, tells Jordan, and Jordan picks it up from the Assigned to me list.

A hand-over changes one thing: the deliverable’s Assignee, the person responsible for it. There’s no new copy of the file, no new deliverable and no new project. The status and the due date stay the same. Sign in to YetOnePro and open a project to follow along.

  1. 01

    Find what’s still on you

Open the project and its Deliverables tab. Click Assigned to me. The list narrows to the deliverables you’re responsible for, here “Billboard key visual.”

  2. 02

    Open the deliverable

Click the deliverable to open it. Under Deliverable file, the file stays where it is, for example northstar-bottle-hero-v1.png. You’re handing over the responsibility, so there’s nothing to copy or re-upload.

  3. 03

    Change the assignee

Open Responsibility & phase. Click Assignee, search your team, and pick your teammate, here Jordan Reyes. The change saves right away. That’s the whole hand-over.

Who can hand over work. Changing the assignee needs a role that can edit projects. Owner, Project Manager and Media Producer can by default. Without it, the assignee shows as plain text.
  4. 04

    Check the list

Press Escape to go back to the list. With Assigned to me still on, the billboard is gone from your list, and you may see Nothing matches these filters. Click Clear filters: it’s the same deliverable, now with your teammate’s avatar.

  5. 05

Know where your teammate finds it

Your teammate opens Projects in the sidebar, then Deliverables, and clicks Assigned to me. The billboard is there, next to the rest of their work from every project.

  6. 06

    Let your teammate know

Assigning a deliverable doesn’t send a notification: no email and no in-app alert. Tell your teammate yourself that the work is theirs now, and point them to Assigned to me.

  7. 07

    Your teammate picks it up

One click on the row opens the deliverable. Your teammate sees the same file, the same due date and the same status, with their name as the Assignee.

In short: the assignee is who’s responsible for a deliverable. Change it in Responsibility & phase. The file, the status and the due date stay as they are, and your teammate finds it under Assigned to me.

Check the result

  • The deliverable’s Assignee is your teammate.
  • It no longer appears under Assigned to me for you.
  • Your teammate knows, because you told them.
  • They see it under Projects › Deliverables › Assigned to me, with the same file, status and due date.

If it didn’t work

My teammate didn’t get an email.

Assigning a deliverable doesn’t send a notification. Tell your teammate yourself; they’ll find it under Assigned to me.

I can’t change the Assignee.

Changing the assignee needs a role that can edit projects, by default Owner, Project Manager or Media Producer. Without it, or while the project is archived, the assignee shows as plain text.

My teammate isn’t in the Assignee list.

Only workspace members can be assigned. Invite them to the workspace first.

Did the status or due date change?

No. The assignee is the only thing that changes. The file, the status and the due date stay as they are.
