WRITTEN GUIDE

Retire an old brief form without losing its requests.

Northstar Creative’s “Fall campaign brief” is still published, and Maya Chen at Harbor & Pine has already sent a request through it. The campaign is over, so Alex Morgan archives the form. Its link stops taking new requests, and Maya’s request stays in Requests.

Open Intake forms in your workspace to follow along. To archive a form, you need the permission to create, edit, publish, and archive intake forms.

  1. 01

    Find the form

Open Creative Ops in the left sidebar, then Intake forms. The form shows as Published, with the number of requests that came in through it.

  2. 02

    Archive it

Open the form’s menu, choose Archive, and confirm with Yes. You’ll see “"Fall campaign brief" archived. Existing requests are kept.”, and the form shows as Archived.

Archiving sends no email. Clients who already sent a request aren’t told anything.
  3. 03

    If you need it again

In the archived form’s menu, choose Unarchive. It moves the form back to draft. Publish it, and the same link works again, so you don’t need to send a new one.

  4. 04

Anyone who opens the old link sees “This form is no longer accepting requests” and “New requests can’t be sent through this link.” There’s nothing left to fill in.

The page also says “If you already sent a request through this form, the team still has it.”, and asks them to contact the team that shared the form to ask how to send a new request.

  5. 05

    Requests already sent stay

Open Requests. Maya’s request from the archived form is still there, with its status and answers, ready for review. Handling it is in Assign a new client request to the right teammate.

In short: archive the form from its menu. Its link stops taking new requests, and the ones you already have stay in Requests. How a client sends a brief is in Send a brief to your creative team.

Check the result

  • The form shows as Archived in Intake forms.
  • The old link says “This form is no longer accepting requests”.
  • Requests already sent through the form are still in Requests.

If it didn’t work

Are the requests that came in through the form deleted?

No. Archiving keeps them. They stay in Requests with their status and answers.

Are my clients told the form was archived?

No. Archiving sends no email. Anyone who opens the old link sees that the form no longer accepts requests.

I archived the wrong form.

Open its menu and choose Unarchive. It moves back to draft; publish it, and the same link works again.
