Assign a new client request
to the right teammate.

A new brief arrived and nobody owns it yet, so it waits until someone notices.

By the end, the request has an owner and an internal note, your teammate is notified, and the client’s page still shows only their status and answers.

Before you start

  • A request in Requests, from one of your intake forms.
  • The permission to assign, approve, and reject intake requests. Your teammate needs the permission to view the request inbox.

WRITTEN GUIDE

Give every new brief an owner.

Maya Chen at Harbor & Pine sent Northstar Creative a brief through their intake form. Alex Morgan assigns it to Jordan Reyes and leaves a note on what to start from. Jordan is notified; Maya sees none of it.

Open Requests in your workspace to follow along. To assign a request, you need the permission to assign, approve, and reject intake requests. Your teammate needs the permission to view the request inbox.

  1. 01

    Find the new request

New briefs land in Requests. A request with no owner shows no one in the assignee column.

  2. 02

    Assign it

Open the request. Choose Assign this request, search for your teammate and pick them. You’ll see “Request assigned.”, and their name appears at the top of the request.

Assigning sets the owner only. The request’s status stays as it was.

  3. 03

    Leave an internal note

In Internal note, write what your teammate needs to know, for example a deadline or where to start. Click outside the field, and it shows Saved.

The note sits under “Internal — not visible to submitter”. Your team sees it. The client never does.
  4. 04

    Check Activity

The Activity tab records who assigned the request and when the note was added: “Request assigned” and “Note added”.

  5. 05

    Your teammate is notified

Your teammate gets a notification right away, “Alex Morgan assigned you to a request on …”, with the form’s name. It’s a notification in YetOnePro, not an email. The request opens with your note on it.

  6. 06

    What the client sees

The client’s own page, from their receipt email, shows the status and their answers. No assignee, no note. Sending a brief from the client’s side is in Send a brief to your creative team.

In short: open the request, assign it, and leave a note for your team. Your teammate is notified, and the client sees none of it. What comes next is in Turn a client request into a project.

Check the result

  • The request shows your teammate as its assignee.
  • Your internal note is saved under “Internal — not visible to submitter”.
  • Activity lists “Request assigned” and “Note added”.
  • Your teammate got a notification.

If it didn’t work

Did assigning change the request’s status?

No. Assigning only sets the owner; the status stays as it was.

Does the client see the note or who it’s assigned to?

No. The client’s page shows the status and their answers only.

My teammate didn’t get an email.

Assigning sends a notification in YetOnePro, not an email.
