By the end, you’ll have an approved request, a new project linked to the client with the brief on it, and contacts and companies kept up to date.

Before you start

  • A YetOnePro workspace with a published intake form and at least one submitted request.
  • A teammate to assign the request to, if you want to try assigning.

WRITTEN GUIDE

Go from a submitted brief to a project in one approval.

Northwind Coffee has filled in your intake form. You want a teammate to pick it up, a project ready to start, and the client’s contact record correct, without retyping anything.

You’ll open the request, assign it, leave a note for your team, and approve it. Approving creates the project and updates your contacts. Sign in to YetOnePro and open your workspace to follow along with a submitted request.

  1. 01

    Open Requests

Every brief from your intake forms lands in Requests, and you get a notification for each new one. Open Creative Ops in the left sidebar, then choose Requests. New requests are in the New tab.

  2. 02

    Assign a teammate

Assign a request to a teammate right from the list, using the assign button on the row.

  3. 03

    Read the request

Click the request to open it. You see every answer, who sent it, and that their email is Verified.

Reference assets the client uploaded are already in your library, ready to use.

  4. 04

    Leave an internal note

In the field marked Internal — not visible to submitter, write a note for your team and click outside the field. The client never sees it.

  5. 05

Approve and set up the project

If the client’s email is already in your contacts, CRM Preview says so — here, Dana is already a contact.

Click Approve and choose what happens to the contact: Merge into existing contact, Create new contact anyway, or skip the CRM step.

Name the project, confirm the included revision rounds you agreed on, and add a short message for the client. Click Approve and create project.

  6. 06

    Open the new project

The project is created right away, and the request links to it. It’s linked to the client’s company and to the person, and it starts in Planning.

The Reviews tab shows the revision rounds included. The overview starts with the client’s brief and links back to the request. The request’s Activity tab keeps the whole story: submitted, assigned, noted and approved.

  7. 07

Approve a request from a new client

For someone new, there’s nothing to set up: approving creates the contact and the company for you. The next request from the same email domain joins that company automatically.

  8. 08

    Check Contacts

Open Contacts, then Companies. The company now has both people, and the domain it learned from the first request.

Check the result

  • The request shows its assignee and your internal note.
  • After you approve, the request links to the new project.
  • The project starts in Planning, linked to the client’s company and person, with the brief on its overview.
  • The request’s Activity lists submitted, assigned, noted and approved.

If it didn’t work

I can’t find Requests.

Open Creative Ops in the left sidebar, then choose Requests. New requests are in the New tab.

Can the client see my internal note?

No. The note field says it is not visible to the submitter.

Does approving a request always create a project?

Yes. In the approval window you name the project and confirm the included revision rounds. You choose only what happens to the contact.
