Choose what a teammate
can do.
A teammate needs to do more, or less, in a workspace, and it isn’t clear which role allows what.
By the end, you can read what each role allows, switch a member to another role, and see their access follow it.
Before you start
- Access to the workspace settings, with permission to manage roles and members.
- A teammate who is already a member of the workspace.

Here's how roles set what each teammate can do in a workspace, and how to change someone's role.
In the workspace settings, Roles lists this workspace's roles and who has each one. The Owner isn't listed here: the Owner has full access, and that role can't be given to anyone else.
Each chip is one area, like Asset, Comment or Project, with the number of permissions the role has there. A dashed chip means none.
Click a chip to see the details. A Media Producer can view, edit and download assets, and upload assets and new versions, but can't delete assets.
In Project, a Media Producer can view and edit projects.
A Project Manager can also create projects, archive and delete them, and send deliverables for client review.
Cancel closes a chip without changes. If you save a change here, it applies to everyone with that role.
Here's Jordan, signed in as a Media Producer. On Projects, there's no New project button.
To change someone's role, open Members and click the role next to their name. Jordan becomes a Project Manager.
Jordan's access follows the new role: now there's a New project button.
Add role creates a role of your own: give it a name and pick permissions chip by chip, then assign it in Members.
A role with members or pending invitations can't be deleted.
Roles aren't levels: each one is its own set of permissions. Compare the chips before you change someone's role.
Search across all videos and guides.
A role is a set of permissions, not a level.
Each member of a workspace has a role, and the role sets what they can do there. Here, Alex reads what two roles allow, then switches Jordan Reyes from Media Producer to Project Manager.
Open your workspace settings to follow along.
- 01
Open Roles
In the workspace settings, Roles lists this workspace’s roles and who has each one. The Owner isn’t listed here: the Owner has full access, and that role can’t be given to anyone else.
- 02
Read the chips
Under Access summary, each chip is one area, like Asset, Comment or Project, with the number of permissions the role has there. A dashed chip means none.
- 03
Click a chip for details
Click a chip to see its permissions. In Asset, a Media Producer can view, edit and download assets, and upload assets and new versions, but can’t delete assets.
In Project, a Media Producer can view and edit projects. A Project Manager can also create projects, archive and delete them, and send deliverables for client review.
- 04
Close it with Cancel
Cancel closes a chip without changes. If you save a change there, it applies to everyone with that role.
- 05
See the teammate’s access before
Signed in as a Media Producer, Jordan sees no New project button on Projects.
- 06
Change their role in Members
Open Members and click the role next to the teammate’s name, then pick the new one. Jordan becomes a Project Manager, and YetOnePro confirms: “Member role updated successfully.”
- 07
See the result
Jordan’s access follows the new role: now there’s a New project button.
- 08
Add a role of your own
Add role opens Create role: give it a Role name and pick permissions chip by chip, then assign it in Members. A role with members or pending invitations can’t be deleted.
In short: roles aren’t levels, and each one is its own set of permissions. Compare the chips before you change someone’s role.
Check the result
- In Roles, you opened the chips of the role you want, and closed them with Cancel.
- In Members, the teammate now shows the new role, and you saw “Member role updated successfully.”
- The teammate’s access follows the new role.
If it didn’t work
The Owner isn’t in the Roles list.
The Owner has full access, and that role can’t be given to anyone else, so it isn’t listed.
I want to change one chip for one person only.
A change saved in a role’s chip applies to everyone with that role. To change one person’s access, switch their role in Members, or create a role of your own with Add role.
I can’t delete a role.
A role with members or pending invitations can’t be deleted, and your own role is protected.
