Upload a photo shoot
with shared metadata in one batch.
A shoot comes back as a stack of photos, and the same client and photographer have to be typed into each one.
By the end, every photo from the shoot arrives as its own asset with the shared details already filled in.
Before you start
- The permission to upload assets.
- Metadata fields set up for the workspace, such as Client and Photographer.
Watch the walkthrough
Here's how to upload a whole photo shoot and fill in its shared details once, for every file in the batch.
Jordan has just finished a product shoot for Lumen Bay. On the Upload page, choose Choose files, and pick all four photos.
All four land in one batch. On the right, Metadata for this batch applies to every file in it.
This workspace requires Client and Photographer, so Upload 4 files stays locked until both are filled in.
Setting up required fields is covered in Require file details at upload.
Pick Lumen Bay as the client, and type the photographer's name. You enter it once, not four times.
Optional fields stay folded away. Open them, and set Campaign to Cold Brew Launch.
The note under the button explains the rule: values are fixed when this batch starts. Later edits apply to the next batch.
Choose Upload 4 files, and the transfer starts.
When processing finishes, every row shows Ready and Metadata applied.
Open any asset.
Under Custom Metadata, Client, Photographer and Campaign are already filled in.
Go back, and you land in Assets. The four photos are at the top, ordinary assets now, each with its own values.
To change a value later, edit it on the asset itself.
Open Upload again, and the form is empty. A batch exists only while you upload. There's no batch to reopen.
In short: put the whole shoot in one batch, fill in the shared details once, upload, and check each file in the results.
Search across all videos and guides.
Fill in the shared details once, for the whole shoot.
Jordan has just finished a product shoot for Lumen Bay. All four photos share the same client and photographer, so Jordan uploads them in one batch and enters those details once.
Open Upload in your workspace to follow along. You need the permission to upload assets. Setting up the fields, and making some of them required, is in Require file details at upload.
- 01
Choose the shoot
On the Upload page, choose Choose files, and pick all the photos from the shoot.
- 02
One batch, shared fields
All the photos land in one batch under Add files. On the right, Metadata for this batch says Applies to all 4 files: whatever you enter there goes on every file in the batch.
- 03
Upload stays locked
If the workspace requires fields, for example Client and Photographer, the Upload 4 files button stays locked until they are filled in. The note under it says what’s left: “2 required fields still missing.”
- 04
Fill the required fields once
Choose Select client, and pick Lumen Bay. Type the photographer’s name, for example Sam Carter. The panel shows “2 of 2 required fields completed”. You enter each value once, not once per photo.
- 05
Add optional fields
Optional fields stay folded away. Open Optional fields (1), and set Campaign to Cold Brew Launch.
- 06
Values are fixed at start
The note under the button explains the rule: “Values are fixed when this batch starts. Later edits apply to the next batch.”
- 07
Start the upload
Choose Upload 4 files. The transfer starts.
- 08
Check the results
When processing finishes, Upload results shows 4 ready, and every row shows Ready and Metadata applied.
- 09
Check an asset
Choose Open asset on any row. Under Custom Metadata, Client, Photographer and Campaign are already filled in.
- 10
Back in Assets
Go back, and you land in Assets. The photos are ordinary assets now, each with its own values. To change a value later, edit it on the asset itself. You need the permission to edit the asset.
To change the same value on many assets at once, select them in Assets and use Metadata. That needs the permission to edit workspace settings. To find the photos again by a value such as the campaign, see Find campaign assets with shared metadata fields. - 11
Upload is empty again
Open Upload again, and the form is empty: no files, and “0 of 2 required fields completed”. A batch exists only while you upload, so there’s no batch to reopen.
In short: put the whole shoot in one batch, fill in the shared details once, upload, and check each file in the results. To find older assets where a required field is still empty, see Find assets with missing required metadata.
Check the result
- All the photos from the shoot are in one batch, and Metadata for this batch says “Applies to all” of them.
- The panel shows every required field completed, and the upload button is unlocked.
- In Upload results, every row shows Ready and Metadata applied.
- An opened asset shows the values under Custom Metadata.
If it didn’t work
The upload button is locked.
A required field is still empty. The note under the button says how many, for example “2 required fields still missing.” Fill them in, and the button unlocks.
I changed a value after the upload started, and the files didn’t get it.
Values are fixed when the batch starts. Later edits apply to the next batch. To change a value on a file you already uploaded, edit it on the asset under Custom Metadata.
Can I reopen a batch to change its values?
No. A batch exists only while you upload, and there’s no batch to reopen. Edit the value on each asset, or select several assets in Assets and use Metadata.
My new photos don’t show up in search yet.
New uploads can take up to about a minute to appear in search. Wait a minute, and search again.
I see “This batch is larger than the remaining storage quota.”
The workspace doesn’t have enough storage left for these files. Remove some files from the batch, or add storage to the workspace, and try again.
