By the end, your organization carries your company’s name, and you know where each workspace keeps its members, roles, statuses, metadata and watermark.

Before you start

  • You own the organization. Only the owner can rename it.

WRITTEN GUIDE

Name your organization, then set up each workspace in its settings.

When a new owner signs up, YetOnePro prepares an organization and a first workspace with sample files. That can take a moment. Once it’s ready, everything below starts from one menu.

Sign in to your workspace to follow along.

  1. 01

Open the workspace menu at the top left. The top half is about your workspaces: Workspace settings, All workspaces and Create workspace. The bottom half is your organization: its name, Organization settings and Create organization.

  2. 02

    Open your organization

Your organization groups your workspaces. It holds your team, single sign-on, billing and seats.

Select Organization settings. The General tab shows the Organization name, then Team and Single sign-on (each with Manage) and Billing & usage (Open).

  3. 03

    Give it your company’s name

Click Edit → next to the organization name, type your company’s name, and click Save. The heading now reads “Settings for” your new name, and the workspace menu shows it too.

  4. 04

    Open Workspace settings

Each workspace keeps its own assets, projects, members and roles. From the workspace menu, select Workspace settings. It opens on General: the logo under Workspace identity, the Workspace name and the Workspace URL.

  5. 05

Check who’s in and what they can do

Under Access, Members shows who’s in this workspace and their role. Roles decide what each person can do.

To invite someone, see How to bring a teammate into the workspace they need. To pick or change a role, see How to choose what a teammate can do.

  6. 06

    Set up statuses and metadata

Statuses are the labels your team puts on assets. Add your own with Add status, or adjust the ones you created.

Metadata adds your own fields to assets, so every file carries the details your team needs. To make a field required at upload, see Require file details at upload.

  7. 07

    Prepare a watermark style

Watermark sets up a text or logo style. A style alone doesn’t watermark anything: rules, or Force on in a share or portal, apply it to the assets they cover. Watermarked files count twice toward your storage.

To watermark a share, see Watermark your work before sharing it. To apply it automatically, see Watermark files automatically with rules.

  8. 08

Add a workspace when you need one

From the workspace menu, All workspaces lists every workspace in your organization. To add one for a client or a team, select Create workspace, give it a name under Workspace name, and select Create.

In short: name your organization, then set up each workspace in its settings. Next, try a full client review on a sample image.

Check the result

  • Organization settings › General shows your company’s name.
  • You opened Workspace settings and found General, Members, Roles, Statuses, Metadata and Watermark.
  • All workspaces lists every workspace in your organization.

If it didn’t work

There’s no Edit next to the organization name.

Only the organization’s owner can rename it. Everyone else sees the name without Edit.

Some sections are missing from Workspace settings.

Each section appears only if your role allows it. Ask your workspace administrator for access.

I can’t edit one of the statuses.

Statuses marked System can’t be edited. You can adjust the statuses you created.

Do watermarked files use storage?

Yes. Watermarked files are billed at 2× the original file size: they count twice toward your paid storage.
