WRITTEN GUIDE

Keep every take, update and format of a design in one asset.

Your studio designs the Lumen Bay Coffee logo. The designer refines it, print needs its own version with spot colors, and the client wants a transparent PNG, a JPG for the web and an animated MP4.

Instead of a folder of “logo final v3 print CMYK copy 2” files, you’ll keep all of it in one asset: variants for different takes, versions for each update, and formats for extra files of one exact version. Sign in to YetOnePro and open your workspace to follow along.

  1. 01

    Upload the logo

Click Upload in the left sidebar, choose your file, for example “Lumen Bay logo.png,” and click Upload 1 file. Everything you upload becomes an asset.

When the row shows Ready, click Open asset.

  2. 02

    Open Files & versions

In the right panel, open the Files & versions tab. Every asset starts with an Original variant and its first version, V1, marked Current.

  3. 03

    Add a new version

The designer refined the logo? Click Add file, choose New version, pick the new file and click Add as V2.

V2 becomes current. V1 stays in the history, one click away.

Versions stay together. You can’t delete a single old version. Each version is part of the asset’s history.
  4. 04

    Add a variant

Print needs a different logo: two spot colors, crop marks, no background. That’s a variant, a different take on the same design, with its own versions.

Click Add file, choose New variant, name it, for example “Print,” pick the file and click Create variant. A second card appears next to Original, starting at V1.

  5. 05

    Comment on a version

Select the version you want to discuss, for example Print V1, and open Comments. Click Add a comment…, write your feedback and click Save.

Feedback lands on the exact version it’s about.

  6. 06

Back in Files & versions, click Add file, choose New version and set the destination to Print → V2. The fix comes in as Print V2 and becomes current.

The comment stays on V1, where it was made, so you always know which file it was about. Print V2 starts with no issues.

  7. 07

    Add formats of one version

The same design often ships in several files: a transparent PNG, a JPG for the web, an animated MP4. Select the version, for example Original V2, click Add file and choose Additional format. Pick the file and click Add format.

No new version is created. The format belongs to that exact version, and you can download it from its ⋯ menu.

Approvals are per version. When a client approves, they approve a version of a variant. Formats come along with it; they’re never approved on their own.
  8. 08

Tell your files from system previews

Expand a version to see its files. YetOnePro makes its own preview files, marked System, and keeps them up to date for you. Your formats are listed right below them.

  9. 09

    Find it as one card

So here’s the whole picture: one asset, two variants, four versions, and the formats you added.

In Assets, search for “logo.” You get one card for the whole asset. Tags and status are set once for the asset and show on every version.

Deleting a variant removes it with all its versions and formats; YetOnePro keeps it for 30 days before it is removed for good.

Check the result

  • Files & versions shows two variants: Original and your new one.
  • The newest version of each variant is marked Current.
  • Your comment shows on the version you left it on, not on the newer one.
  • Your formats are listed under their version, below the System files.
  • Search finds one card for the whole asset.

If it didn’t work

Can I delete one old version?

No. Versions are the asset’s history and stay together. You can delete a whole variant, with its versions and formats, or move the whole asset to Trash.

What happens when I delete a variant?

The variant leaves the asset with all its versions and formats. YetOnePro keeps it for 30 days before it is removed for good.

Can a client approve a single format?

No. A client approves a version of a variant. Its formats come along with it.

Why did my comment not move to the new version?

Comments belong to the version they were made on. Open the older version to read them; the newer version starts with no issues.
