Before you start

  • A YetOnePro workspace where you can create intake forms.
  • A client who will fill in the form, and an email address they can receive a code at.

WRITTEN GUIDE

Ask the right questions once, with one link.

A new client, Northwind Coffee, is about to send you a brief. Briefs that arrive as long email threads miss half the details, and you end up asking the same questions every time.

You’ll build an intake form from a template, publish it, and send the link. Your client fills it in without an account, and the brief lands in your Requests inbox with every answer and asset in one place. Sign in to YetOnePro and open your workspace to follow along.

  1. 01

Open Intake forms and create a form

Open Creative Ops in the left sidebar, then choose Intake forms. Your forms are listed here. Click Create form.

  2. 02

    Start from a template

Under Choose a starting point, pick Creative Brief and click Use template. It already asks for the name, email, budget, delivery date, audience and key message.

The editor opens. Switch between Edit and Activity at the top, and between Fields, Branding and Settings at the side. A live Preview on the right shows what your client will see.

  3. 03

    Add your own questions

Rename the page — here, “Project details” — and remove what you don’t need, for example “Project type.”

Add a Single select field called “What do you need?” and type the choices your client picks from: Packaging design, Social campaign and Brand identity. In the Preview, the choices appear as radio buttons.

Add a Short text field for the company, and a File upload field called “Reference assets” where the client can drop files right in.

  4. 04

Mark required fields and map the company

Turn on Required for the must-haves. Then, on the company field, choose Company · Company name under CRM mapping. When you approve the request, the client’s details land in your contacts.

  5. 05

    Review the settings

Open Settings. Set a thank-you message and how many revision rounds the project includes — here, 2. You can also add a password or limit the number of submissions.

The Spam protection line is already on: every form is checked by Cloudflare Turnstile, with nothing to set up.

  6. 06

    Publish and copy the link

Click Publish. When the Form published message appears, click Copy and send the link to your client.

  7. 07

    What your client sees

Your client opens the link and sees a clean branded page with your studio’s name. There’s no account and no login. They click Start New Request, fill in the brief, choose what they need, and drop in a moodboard.

When they click Submit, they confirm their email: they click Send verification code, enter the one-time code from their inbox, and submit again. That way you know who sent it. Then they land on your thank-you page.

  8. 08

    Receive the brief

Back in your workspace, you get a notification the moment the brief arrives: “New request submitted on “Creative Brief” by Dana Lee.” Click it.

The brief opens in Requests with status New, with every answer and the uploaded asset in one place.

Check the result

  • The form shows as Published and you have copied its link.
  • The client can open the link without an account and submit the brief.
  • You get a notification, and the request appears in Requests with status New.
  • The request shows every answer and the client’s uploaded asset.

If it didn’t work

I can’t find Intake forms.

Open Creative Ops in the left sidebar, then choose Intake forms. Click Create form to start.

The client says the verification code didn’t arrive.

The code is sent to the email address the client entered in the form. Ask them to check that address and their spam folder.
